One of the most common problems in corporate email usage is that sent important emails fall into the recipient's "Junk" or "Spam" folder instead of the "Inbox". This situation can lead to a loss of commercial reputation and communication breakdowns.
The fundamental reason your emails go to spam is that the receiving server (Gmail, Hotmail, Outlook, etc.) flags your email as "untrusted" or "unverified".
In this guide, we have compiled the steps you need to check in your Hostider hosting account to solve this problem effectively.

There are 3 records known as the "Holy Trinity" in email security. If one of these is missing, Gmail or Outlook will perceive you as spam.
SPF is an identity card that says, "The authority to send mail on behalf of this domain name belongs to this IP address."
The Problem: If your SPF record is missing or incorrect, the receiving server cannot be sure that the mail actually came from you.
The Solution: Check if your SPF record is "VALID" by entering the "Email Deliverability" menu via cPanel. This is created automatically on Hostider servers, but it may be broken if you intervened manually.
DKIM adds a digital signature (seal) to every email you send. This seal proves that the mail was not altered in transit.
The Problem: Unsigned letters always arouse suspicion.
The Solution: Again, make sure your DKIM record is active from the cPanel > Email Deliverability section.
DMARC is a set of rules that specifies what the receiving server should do (Reject, Quarantine, or Report) if SPF or DKIM verification fails.
Recommendation: Adding a simple DMARC record to start with increases your trust score.
Hostider Note: SPF and DKIM are automatically defined for new accounts on Hostider panels. However, if you have connected your domain name to an external DNS manager like Cloudflare, you must manually add these records there as well.
Even if your technical settings are perfect, the content you write can trigger spam filters.
Use of CAPITAL LETTERS: Writing the entire subject line in capital letters (e.g., "URGENT INVOICE PAYMENT") triggers spam filters.
Forbidden Words: Words like "Free", "Click and Win", "Promotion", "Urgent", "Gift", "No Risk" increase the spam score.
Image/Text Ratio: Emails consisting of just a single large image with no text inside fall into spam 90% of the time.
Broken Links: If there are links in the mail content that do not work or go to insecure (http://) sites, your mail will be blocked.
If you are using shared hosting, spamming by another site on the same server can lower the reputation of the IP address.
Hostider Assurance: As Hostider, we monitor our server IPs 24/7. We pass outgoing mails through AI-supported filters to protect IP reputation.
Check: You can check if your domain name or server IP address is on a blacklist via mxtoolbox.com.

If you have just purchased your domain name, you do not yet have a reputation in the internet world. If you send emails to thousands of people on the first day, servers view this as "abnormal activity" and block it.
The Solution: Increase your email traffic gradually (Warm-up process).

If your emails are going to spam, perform this test before opening a support ticket:
Use Mail Tester: Go to www.mail-tester.com.
Send an email from your Outlook or Webmail to the temporary email address provided by the site, in the style you always send.
See the Score: The site will give you a score out of 10.
Score 9-10: Great. The problem is likely related to the recipient's personal filters.
Score 5-8: Improvement needed (Usually content-related).
Score below 5: Serious configuration error (Missing SPF/DKIM or Blacklist issue).
If you receive an SPF or DKIM error in the Mail Tester result:
Log in to cPanel.
Open the Email Deliverability menu.
Click the "Repair" button next to your domain name.
If the problem persists, create a support ticket to the Hostider Support Team by copying the Mail Tester result link. Our expert team will examine the issue in detail.
